The Documents You Need Before You Apply for Any Grant

The fastest way to blow a grant deadline isn't writing too slowly — it's discovering three days before it's due that you're missing a document that takes two weeks to get. Here's what to have ready before you start.

Corporate basics

• Certificate/articles of incorporation and business number (or EIN in the US).
• A current corporate structure chart if you have multiple entities or shareholders.
• Proof of good standing — many programs require confirmation you're not in default on taxes or other government obligations.

Financial documents

• The last 2-3 years of financial statements (reviewed or audited, if a program specifically asks for that level).
• Recent bank statements, if the program wants proof of ability to front the project cost before reimbursement.
• A cap table or ownership breakdown, especially for programs targeting specific ownership categories (women-owned, Indigenous-owned, veteran-owned, etc.).

Project-specific documents

• Quotes or estimates for equipment, contractors, or services the project budget depends on — reviewers weight a quoted number far more than an estimated one.
• Any technical documentation, specs, or drawings relevant to what the project is actually building or changing.
• Letters of support, if the program values third-party validation (a customer, a research partner, an industry association).

People documents

• Resumes or bios for key people on the project — many reviewers weigh team capability almost as heavily as the project idea itself.
• Org chart showing who's actually doing the work, if the application asks who's responsible for what.

None of this needs to be assembled from scratch every single time. Once you've gathered it once, keep it in one folder and update it quarterly — the businesses that apply to multiple programs efficiently are the ones who treat this as standing infrastructure, not a one-off scramble every time an opportunity comes up.
